Export invoices to Xero as a CSV

Already doing your books in Xero? Send your WireWrite invoices across in a few clicks, without retyping a thing.

  1. In WireWrite, filter to Not yet exported and select the invoices you want.
  2. Download the CSV (it’s laid out in Xero’s sales invoice import format), then confirm Mark as exported so they don’t go in twice.
  3. In Xero, go to Business > Invoices > Import, upload the file and choose Tax exclusive.

Good to know: this is a CSV export you import yourself, not a live connection. WireWrite doesn’t sync with Xero or log in to your Xero account.

Why “Tax exclusive”?

WireWrite line amounts are exclusive of GST, with GST at 15% added on each line. Choosing Tax exclusive when you import tells Xero to read the amounts the same way, so the totals in Xero match the invoices your clients received.

NZ tax invoice essentials, handled

WireWrite is set up around New Zealand GST so the basics are there every time.

  • “Tax invoice” title when your company is GST-registered.
  • GST at 15% calculated on each line, with the GST total and the total including GST shown.
  • Invoices over $1,000 including GST prompt for a buyer identifier — an address, phone number, email, NZBN or website — in line with New Zealand’s taxable supply information rules.
  • A review step before you issue, so you can check the client, lines and totals.

Teams and approvals

You decide who can bill your clients. Managers and Admins can issue invoices. For each Employee, a Manager picks one of three settings:

  • Off — the default. No invoicing.
  • Drafts for approval — they write the invoice on site; it waits under Awaiting approval for a Manager or Admin to issue.
  • Can issue — for trusted staff who send their own invoices.

Rates & costs are set by the Manager, so your pricing stays consistent across the team.

Payment claims

Doing commercial or construction work? Create a payment claim under the Construction Contracts Act 2002 straight from an issued invoice, as a PDF.

A payment claim must be served with Form 1. WireWrite links you to the official form, but doesn’t reproduce it — include it when you serve the claim.

Frequently asked questions

Does WireWrite connect directly to Xero?

No. WireWrite exports a CSV file in Xero's sales invoice import format. You import it yourself in Xero under Business > Invoices > Import, choosing Tax exclusive. It is not a live connection or sync, and WireWrite is not affiliated with or endorsed by Xero.

Will invoices end up in Xero twice?

Not if you use the Not yet exported filter. After you download the CSV, mark those invoices as exported and they drop out of that filter, so the next export only picks up new invoices.

Can I invoice from my phone on site?

Yes. Invoicing works in the WireWrite web app in any modern browser on your phone, tablet or computer. Invoicing is not in the iPhone, iPad or Android apps yet, so open WireWrite in your phone's browser to invoice on site.

Are WireWrite invoices GST tax invoices?

If your company is GST-registered, invoices are titled Tax invoice and GST at 15% is worked out on each line. For invoices over $1,000 including GST, WireWrite asks for a buyer identifier such as an address, phone, email, NZBN or website. You are still responsible for your own GST obligations, so check with your accountant or Inland Revenue if you are unsure.

Can I change an invoice after it is issued?

Issued invoices are locked so your records stay accurate. To correct one, void it and issue a new invoice. Drafts can be edited freely until you issue them.

Can my electricians create invoices?

Managers and Admins can always issue invoices. A Manager sets each Employee to Off, which is the default, Drafts for approval, or Can issue. Drafts for approval wait under Awaiting approval until a Manager or Admin reviews and issues them.

How much does Financials cost?

Financials is an add-on to a WireWrite plan with at least one seat. It is $10 a month plus GST per company, not per seat. It is free during your 30-day trial, and free for all subscribers until the end of 5 November 2026. Seats are $5 per seat per month plus GST.

Do my clients need a WireWrite account to see an invoice?

No. Share a secure link and your client can view the invoice and your bank details without an account. The link lasts 90 days. You can also email it or download a PDF.
